Georgetown ISD (District 13)

In 2004, GISD was faced with a decision - bring in a portable and make it a storage room for Special Ed records or digitize them. At the time, they literally had 1.5 MILLION pages of records in file cabinets stuffed into a small office. In fact, the 4-drawer cabinets had 2 drawer cabinets set on top! Before going digital, staff had great difficulty accurately tracking files and controlling access to them. Since then, they have gone on to scan AP, HR, Payroll, Historical Board Minutes, Facilities Manuals and Engineering Specs, and Nutrition Services just to name a few. Seven years and 3.5 million pages later, they're going strong.

Coolidge ISD (District 12)

CISD had student records dating back to the 1920's sitting in boxes in a storage closet. Over the years, these records had been moved from place to place and never climate controlled. Slowly but surely, these records were rotting away. To make matters worse, staff was spending a significant amount of time looking through these papers as a result of requests. Former students were needing copies of birth certificates and other proof of citizenship in order to apply for Social Security benefits and for passports. Each time staff went through the records, their condition got worse. In the end, we digitized 175,000 pages of records preserving them for the future. From there, they went on to scan all of their HR records and are planning to move to AP in the 2012-13 school year.

Salado ISD (District 12)

SISD was simply out of space. All the closets in the administrative offices were full of historical HR records and everything else was stored in a bulletproof hut obtained from the Army. Finding anything was quite a task! They are working to scan the HR files in the administrative offices to get some breathing room and then work out a plan for other departments.

Elgin ISD (District 13)

EISD is in the process of converting years of Special Ed records from file cabinets located in the administrative offices. At the same time, they are initiating procedures to allow campus coordinators to file evaluations, ARD's and other documents directly into the system rather than creating paper file folders.

Hillsboro ISD (District 12)

At HISD, records storage space was at such a premium that boxes of HR records were stored in a closet in the CFO's office. Every time he left the room, he had to lock his door. Sometimes, he even remembered to take his keys! They brought us in to set up FileBound and get them started scanning these records so they could ensure appropriate access and confidentiality.

San Diego ISD (District 2)

With so much new construction around the new middle and high school, records were being moved temporarily from one place to another. Each time the records moved, the chance of something being lost or inadvertently thrown away caused the administrative staff worry. Not to mention the inability to directly control who had access to the files. Currently, staff is working to convert all these student records to digital format. They are starting with current students and working their way backwards. They also plan to scan HR and business records once this first phase is complete.

Grandview ISD (District 11)

The business office staff wanted a better way to keep track of AP paperwork. Like many ISD's, the packet for any purchase consisted of a purchase requisition, then a purchase order. Eventually, the purchase would arrive and bring with it receiving documents and an invoice. Finally, these things were gathered together, the check written, and the voucher printed as the last piece of the packet which was then put in drawers by the first letter of the vendor's name. Now, they are able to "print" purchase requests and orders directly into FileBound, scan the receiving documents and invoices when they arrive, and "print" the check voucher into the electronic record. Their setup allows them to quickly and easily see if documents are missing and what step any given transaction is on. Routing these files electronically rather than manually is saving them time and money. Payroll, HR, and Student Records are next in line.
